Becoming a Senior PA with Smart DCC

What you'll be doing:

As an experienced Senior PA you will provide efficient, high-quality administrative support to the Chief Executive Officer, as well as leading a team of 6 PA's across the business who support the senior leaders in the Executive Committee. The role will report to the Executive Business Manager (EBM), who is Chair of the Executive Committee and leads the CEOs Office.

This role will require extensive diary, travel arrangement and event organisation on behalf of the CEO and the EBM, so an eye for detail and excellent organisational skills are key.

In addition, the postholder will manage the PA pool, including line management, allocation of general work load, holiday cover, overseeing training and onboarding, central point of contact for issues, information and make improvements to the efficiency and quality of work.

What you will do:
* Diary / schedule management for the CEO, anticipating needs, prioritisation and preparation for meetings and key events, including organisation of internal and external meetings.
* Planning for business lunches, dinners and meetings, managing invites and meeting requests for the CEO and events for the Main Board. Booking venues as needed
* Complete management of all business travel for the CEO and EBM, Arranging visas where needed / applications for passports & passport renewal
* Producing detailed itineraries for travel, business meetings and engagements
* Setting up meeting rooms and video conferences, working with IT in ensuring the correct equipment is in place and working
* Processing monthly expenses for the CEO and EBM
* Creation of presentational material for internal and external audiences - including storage and re-use of material where appropriate for efficiency
* Inbox management, monitoring and responding on behalf of the CEO where appropriate
* Line management responsibility for PA pool
* Ensure that workload is evenly distributed across each team member. Assistants will manage their day to day, this role will manage the overall general workload as and when new leaders are hired or exit the business as well as managing holiday and sickness cover.
* Maintain centralised resources of information to ensure best practices are shared.
* Generates a fun and motivating work environment. Bringing the team together regularly for meetings, celebrating successes, creating a culture of team work and collaboration.

What we're looking for:
* Senior PA/EA experience
* Line Management experience
* Pro-active, with the ability to anticipate issues and provide solutions and can manage multiple tasks.
* Attention to detail and a high level of accuracy
* Highly organised, pragmatic and reliable, with the ability to work on own initiative without supervision.
* Excellent use of English language (both written and verbal)
* An adept and confident communicator with strong inter-personal skills, effective in dealing with people at all levels. as well as personalities
* Patience, resilience and good listening skills
* Experience of working with board members
